ACO Seeks Orchestra Personnel Manager

Reports To: Operations and Production Manager

Supervises: Orchestra Musicians

Position Type: Part-time/Per-service

POSITION SUMMARY

The Orchestra Personnel Manager is a key staff position responsible for the human resource management of orchestra personnel, including overseeing application of the Collective Bargaining Agreement (CBA) between American Composers Orchestra and the musician’s union, preparing payroll, scheduling American Composers Orchestra’s rostered musicians, hiring per-service substitute and extra musicians, addressing musician personnel issues and serving as liaison between musicians and the Music Director, conductors, guest artists and ACO staff.

ACO provides a flexible work environment for team members. ACO’s team is currently working remotely due to the COVID-19 pandemic. We will offer team members the option to work from our NYC office when it is safe to do so, or create a schedule that balances remote and in-office work. For this role, we seek a team member based in the tri-state area, in order to carry out on-site responsibilities; administrative functions can be performed remotely. ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure that all ACO activities are executed in compliance with the collective bargaining agreement
  • Develop and manage orchestra personnel budgets
  • Prepare musician payroll and ensure timely resolution of any issues
  • Manage tenure review process
  • Maintain personnel records and provide appropriate information to ACO staff
  • Disseminate all orchestra schedules
  • Distribute information regarding rehearsal orders, service locations and instrumentation
  • Prepare musician rosters and hire needed substitute and extra musicians
  • Communicate information about orchestra personnel to Operations and Production Manager and Orchestra Librarian
  • Administer leave requests from musicians
  • Maintain system for tracking attendance, leave, rotation and performance assignments
  • Manage orchestra rehearsals and concerts, including timekeeping of services relating to breaks, start and end times and intermissions
  • Ensure safe and appropriate working conditions for musicians
  • Facilitate communications between CEO and President, Artistic Director, Orchestra Committee and individual musicians
  • Announce and distribute information and relevant changes as they occur
  • Respond to correspondence from musicians and staff in a timely manner
  • In coordination with the President and CEO, manage orchestra artistic and disciplinary issues in compliance with the collective bargaining agreement

QUALIFICATIONS

  • Must possess a vast familiarity with the NYC-area freelance orchestra musician and new music communities
  • Proven track record of recruiting and contracting musicians for orchestral, chamber, new music, commercial music, and recording projects of varying style and genre
  • Proven track record of alignment with DEI best practices in recruiting and hiring
  • Ability to interpret and administer the Collective Bargaining Agreement
  • Experience preparing union forms and orchestra payroll including overtime, extra payments, and media payments is an asset
  • Proficiency in MS Office is required
  • Excellent interpersonal written and verbal communication skills, and the ability to interact positively with team members and artists
  • Strong organizational skills, attention to detail, and a high degree of accuracy are essential
  • Must be able to operate at the highest level of discretion and integrity, managing sensitive and confidential/personal information
  • Ability to think creatively, problem-solve in advance, meet deadlines, and work in a fast-paced environment with minimal direction
  • Available to work evenings and weekends to attend rehearsals and performances
  • Self-directed, with a strong work ethic and collaborative skills
  • Knowledge of and appreciation for music written by living composers is a strong plus
